Editorially reviewed: 1 November 2026. Practical guidance from SkyJobs; the employer’s current advert controls each application.
Use the DPSA clarification when completing relevant fields
The DPSA’s 6 March 2025 clarification explains completion of relevant Z83 fields and the signed declaration. It permits non-applicable questions in Parts A–D to be left blank or marked not applicable, and clarifies that initials on the signature page are not mandatory. Read that clarification with the current form and the particular advert; do not treat every empty field as an automatic rejection. This guide does not replace a department’s submission instructions.
A South African public-service application can be rejected before a hiring manager reads your CV if the required Z83 form is incomplete, unsigned, sent to the wrong department, or submitted after the closing time. This checklist helps you prepare a careful application while keeping the vacancy advert—not a social-media summary—as your final authority.
Start with the official vacancy advert
Most national and provincial public-service vacancies appear in the weekly Public Service Vacancy Circular. Open the full advert and record the post title, department, reference number, closing date, submission method and contact person. The Department of Public Service and Administration publishes the circular, but questions about a vacancy must go to the department named in the advert.
Use the South African Government public-service employment guide and the current DPSA vacancy circular page rather than an unofficial copy.
Use the current Z83 form
The current form is the new Z83 effective from 1 January 2021. Download it from an official government website or collect it from a national or provincial department. Avoid old forms saved on a phone, shared in a messaging group or downloaded from an unknown website.
Z83 completion checklist
Match the vacancy details exactly
- Copy the position title and reference number exactly as advertised.
- Name the correct department and indicate where you saw the advert.
- Check whether the advert permits email, online, hand-delivered or postal applications.
Complete every required section
- Provide accurate personal and contact details so the department can reach you.
- Answer the citizenship, criminal-record, dismissal, business-interest and re-employment questions truthfully.
- Give the language, qualification and work-experience information requested.
- If limited space requires you to write “see attached CV”, make sure the CV actually contains the missing information.
Sign and date the declaration
Before submission, check the declaration, signature and date. If the advert requires a handwritten signature, do not assume that a typed name is enough. For an online recruitment portal, follow that portal’s declaration process.
Tailor the CV to the advertised requirements
Your CV should make it easy to compare your evidence with the advert. Use clear headings for qualifications, registrations, work history and relevant achievements. Repeat neither the Z83 nor the advert word for word. Instead, show where and how you developed the required skills.
For each role, include the employer, position, dates and relevant responsibilities. Add measurable achievements where they are true. Never alter dates or claim qualifications you have not completed.
Attach only what the advert requests
Government guidance says to submit the completed Z83 and CV, while individual departments may specify when certified qualifications, an identity document, a driver’s licence or professional registration evidence must be supplied. Requirements can differ, so the specific advert wins.
Name electronic files clearly, for example Surname_Reference_Z83.pdf and Surname_Reference_CV.pdf. Open every attachment after saving it to confirm that it is readable and complete.
Make the deadline your final quality check
- Recheck the reference number in the form, email subject and file names.
- Confirm the receiving email, portal or physical address from the original advert.
- Submit early enough to handle slow uploads or email-size limits.
- Keep the advert, final application and proof of submission together.
A draft saved in an online portal is not necessarily a submitted application. Look for a confirmation page, reference or email before closing the browser.
Common mistakes to avoid
- Using the old Z83 form.
- Leaving required questions unanswered.
- Forgetting the signature or date.
- Sending one generic CV for unrelated jobs.
- Submitting to DPSA instead of the advertising department.
- Trusting a repost that omits an amendment or changed closing date.
Your next step
Download the official advert and current form first, then work through this checklist once while drafting and again immediately before submission. You can also browse current South African opportunities on SkyJobs and verify every application instruction against the employer or department named in the listing.
This article provides general job-search information, not a guarantee of selection or appointment. Always follow the latest official vacancy advert.
Turn the checklist into a usable application
For a public-service post with its own reference number, make a short evidence table before editing. Copy one requirement into the left column and your own supporting example into the right. For instance, a qualification or task that directly supports the stated requirements can be relevant if it is something you actually did. This is a planning example, not a current vacancy or a claim about an employer’s requirements.
| Advert requirement | My truthful evidence | Document to check |
|---|---|---|
| [Copy the exact requirement] | [Describe your action and context] | [CV entry, certificate or project] |
| [Copy the next requirement] | [State the actual dates or completion status] | [Relevant supporting record] |
Before sending, compare the completed table with the final CV, form and letter. Remove all sample text, check the receiving address again and keep a copy of what was submitted. A useful application is specific and consistent; it does not need to be inflated with unsupported claims.
